West of England Residential will attend your property and advise on its rental potential, the current market state and likely applicants we would consider suitable. Advice will be given on any legal requirements with regards to safety, current legislation, most suitable type of contract for the premises and any works that would be required, or that we would advise, prior to the property coming to the market.

We will undertake a Safety Risk Assessment and Legionnaires Risk Assessment for each property on your behalf. These are provided free of charge at point of let, however additional charges may apply for follow up assessments if on a Let-Only or Rent Collection Agreement. On a Fully Managed service, these assessments are reviewed annually.

Certain documents may be required before we can start to advertise or agree a let such as HMO Licences, Energy Performance Certificate, Gas Safety Certificate and Electrical Installation Condition Report. This will be discussed with you and advice given dependant on the individual property’s situation.

Once the property is ready to be advertised, we would attend for marketing photographs and advertise through the market leading online property portal, Rightmove, as well as contacting our existing database of applicants.

After the property is advertised and we begin to receive enquiries, we assess the suitability of the applicants and if acceptable, book a time for them to attend the property. We would arrange any access needed with current tenants and keep you informed of who is seeing the property and any feedback after the fact.

Once a suitable tenant is found, we would discuss their application with the Landlord and request permission to proceed.

Each Tenant is put through a referencing procedure through our third-party agency, Rent4Sure. This will assess and confirm their credit history, employment details and previous landlord reference. The Tenant will be expected to reach a certain income requirement and if these are unable to be met, we are able to discuss Guarantors or a payment of rent in advance with permission from the Landlord.

We would meet the Tenant either at the property or our office to sign the documents, collect keys and take possession of the property. As required, we would attend the property on the move in day in any case to check smoke/CO alarms.

Fully Managed

If requested that we fully manage your property, we would inform any tenants of our contact details and our 24/7 emergency contact service. We would collect rent for you, deduct any agreed contractor invoices, our monthly charges and forward you the remainder with your monthly account statement.

We would also deal with the protection of any dilapidations deposit within a government approved scheme and issue the statutory documentation as required.

In addition to finding and referencing the tenant we would deal with all enquiries from tenants, undertake routine maintenance work using approved and qualified tradesmen, change over the accounts with utility suppliers and undertake regular inspections of the property to be sure it is being kept to a good standard.

Whether you prefer to be more involved in the management of the property or if you prefer a more hands-off approach, we can discuss your requirements and expectations giving us a flexible service that suits all.

The cost for this service would be 10% of the monthly rental figure, changeovers would incur a fee of 30% of a month’s rent (minimum £240.00). All charges are subject to VAT.

Inventories are not included and we use a third-party professional inventory clerk, charged at cost.


If instructed on a Let-Only basis, at the commencement of the tenancy the Landlord would be provided with the Tenants’ contact details and visa-versa. The Landlord would then collect rent and deal with all ongoing enquiries and maintenance queries.

For this service, there would be a charge of one month’s rent, inclusive of VAT.

On this basis, we would not protect the dilapidations deposit in a government scheme and issue the statutory documentation however we are able to accommodate this at the cost of £30.00 + VAT.

Additional Charges

Dependant on circumstances, it may not be appropriate to charge a full change-over fee. In these situations, we will use our discretion as to what charges are applicable. These could be one or several of the following:

Tenancy Agreement – £50.00 inc. VAT

Deed of Assignment – £50.00 inc. VAT

Deed of Variation – £30.00 + VAT

Referencing – £35.00 + VAT

Deposit Protection – £30.00 + VAT

Inspection – £25.00 + VAT

Staff Hourly Rate – £40.00 + VAT

Managing Director Hourly Rate – £80.00 + VAT

Issuing of Statutory Documentation – £20.00 + VAT

You will be provided with original invoices for all contractors and fees charged. West of England Residential do not undertake inventories, cleaning or general maintenance ourselves and these are outsourced to third-party professionals and charged at cost.
